Privacy Policy

StopHold, LLC (“Stophold”, “we”, “us”) operates stophold.com and provides automated lead-response and customer-communication services to home service businesses.
This policy explains what we collect, why, and what we do with it.
1. Two different roles
We handle information in two distinct capacities, and your rights differ depending on which applies.
As a controller — for people who visit stophold.com, request an audit, or become our clients. We decide how that information is used.
As a processor — for the customers and prospects of our clients. When a homeowner contacts a contractor who uses Stophold, we process that homeowner’s information on the contractor’s instructions and on their behalf. The contractor is the controller of that data.
If you are a consumer who received a message from a business using Stophold, that business controls your data. Contact them directly to exercise your rights, or contact us at contact@stophold.com and we will route your request.
2. Information we collect
From visitors and prospective clients
- Business name, contact name, email, phone number
- Your business website and publicly available business information
- Response-time measurements we collect during a free audit
- Site usage data (pages viewed, referrer). We use privacy-respecting analytics that do not set cookies or track you across other websites.
From clients
- Business and billing details
- Account credentials or authorised API access to systems you connect — scheduler, forms, phone system
- Configuration you provide, including approved message scripts and booking rules
On behalf of clients — consumer data
When someone contacts a Stophold client, we may process:
- Name, phone number, email address
- Service address and the nature of the service requested
- The content and timestamps of text message conversations
- Appointment details
- Call recordings and transcripts, only where the client has enabled that feature and applicable consent requirements have been met
3. Text messaging
Stophold sends text messages on behalf of our clients, from numbers associated with those clients’ businesses.
- Message frequency varies based on your interaction with the business.
- Message and data rates may apply.
- Reply STOP to opt out of further messages. Reply HELP for assistance.
- Opting out is honoured across all businesses using Stophold, not only the one you replied to.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support of our services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
4. How we use information
- To deliver the service our clients have engaged us to provide
- To respond to enquiries and provide support
- To bill clients and maintain records
- To monitor quality, investigate incidents, and improve reliability
- To meet legal, regulatory, and carrier compliance obligations
We do not sell personal information. We do not use consumer data processed on behalf of one client for the benefit of another client, and we do not use it to train general-purpose machine learning models.
5. Service providers
We use a small number of vendors to operate the service. Each is bound by contract to protect information and use it only to provide services to us.

We may disclose information where required by law, to enforce our agreements, or to protect the rights and safety of any person.
6. Retention
- Conversation transcripts and lead records — retained for the duration of the client relationship and for 24 months afterwards, unless the client requests earlier deletion.
- Call recordings, where enabled — retained for 30 days.
- Opt-out records — retained indefinitely, because we are required to continue honouring them.
- Client account and billing records — retained as required by law.

7. Security
We use encryption in transit, access controls, and least-privilege credentialling. No system is perfectly secure, and we cannot guarantee absolute security. If a breach affects your information, we will notify affected parties as required by law.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, to opt out of certain processing, and to be free from discrimination for exercising these rights.
If you are a California resident, the California Consumer Privacy Act gives you additional rights, including the right to know what personal information we collect and to request its deletion. We do not sell or share personal information as those terms are defined under the CCPA. Residents of other states with comprehensive privacy laws may have comparable rights. Contact us using the details below and we will respond as required by the law that applies to you.
To make a request, contact contact@stophold.com. If your data is held on behalf of one of our clients, we will forward your request to them and assist in responding.
9. Children
Our services are not directed to children under 13, and we do not knowingly collect their information.
10. Changes
We may update this policy. Material changes will be posted here with a revised effective date, and clients will be notified directly.
